How to check case status at the voivodeship office

Not sure what is happening with your residence card or permanent residence application? You have the right to ask the office about your case status — in writing, via e-Doręczenia. The office is obliged to respond.

Status enquiry — how and when to send one

Polish law does not provide a single online tracking system for residence cases — each voivodeship office operates differently and some offices provide no information through their websites. The official method for checking your case status is to submit a written status enquiry, which under the k.p.a. constitutes a formal request by a party and obliges the office to respond.

You address the enquiry to the department responsible for foreigners' affairs at the voivodeship office (urząd wojewódzki) with jurisdiction over your place of residence. The letter should include: your full name, date of birth or PESEL number (if you have one), your case number or the date you submitted the application, and a short question about the current stage of proceedings and the expected date of a decision.

The most convenient and best-documented method of sending is e-Doręczenia — the government's electronic delivery system with a legally equivalent proof of receipt. Every voivodeship office has an electronic delivery address (ADE) through which you can send correspondence.

The office is required to respond to your enquiry. The administrative authority should react without undue delay — in practice this typically means a few weeks. If no response arrives, you have grounds to file a ponaglenie.

An alternative is to contact the office by phone, but in practice offices often do not provide information by telephone or it can be difficult to reach the officer handling your case. A written letter is more reliable because it creates a correspondence trail and formally obliges the office to respond.
